Office Administrator & Volunteer Coordinator

As the Office Admin & Volunteer Coordinator is responsible for projects administration and organizational management of volunteers.

The ideal candidate will be experienced in handling a wide range of project administrative tasks and you’ll manage all elements of office volunteers from recruiting volunteers, evaluating their performance and offboarding volunteers.

We are looking for someone who will be exceedingly well organized and flexible, with high level of empathy and interpersonal skills and you will enjoy the administrative challenges of supporting a small office of diverse people and programs.

Responsibilities:

As office administrator;

  • Receiving and interacting with visitors including incoming emails & calls;
  • Manage the reimbursement of volunteer and project expenses
  • Arranging project meetings and conference calls (including coordinating all meeting logistics, developing agendas and meeting materials, etc.);
  • Maintaining project files and online records
  • Drafting project correspondence and presentations;
  • Managing the inventory of office supplies, ordering additional supplies as needed and ensuring that costs are appropriately managed;
  • Maintaining office facilities and equipment with routine maintenance and upkeep.

As the volunteer coordinator, you’ll need to:

  • Make sure organization policies are followed, updated and maintained.
  • Liaise with project teams who are recruiting volunteers to understand their volunteering needs and develop role descriptions.
  • Build partnerships with volunteering agencies in The Hague.
  • Promote volunteering roles through recruitment and publicity strategies and campaigns
  • Interview and recruit volunteers and ensure they are appropriately matched and trained for a position
  • Evaluate volunteers’ performance
  • Monitor, support, motivate and accredit volunteers and their work
  • Organizing volunteering awards and events for recognition

Perform general duties to include:

  • Managing office security, including opening and closing of the office.
  • Assist the Executive Director with his daily schedule and duties, as required.

Knowledge and Skills

  • Proven office management, administrative or assistant experience.

International Volunteers Program Coordinator

The International Volunteers Program coordinator ‘s main role will be to receive the international volunteers and basically see to it that they are appropriately placed in one of TUH’s programs in Uganda, in accordance with their skills, personality, needs, and the resources available at hand.

You as the Volunteer Coordinator will be responsible to interview incoming volunteers, and with the help of our staff, train them and make sure they are prepared for their respective programs. You will liase with the programme office in Uganda in ensuring that available international volunteering positions are filled. You MIGHT be required (If funds are available) to visit our field offices in Uganda in training our field staff and overseeing the programmes for volunteer placements. This will give you the opportunity to see first-hand the communities and conditions under which placed volunteers will live in Uganda.

International Volunteer coordinator’s role:

  • Recruiting, training, organizing and supervising volunteers;
  • Overseeing the volunteer induction period;
  • Designing and delivering training relevant to interests of the chosen program, including overview about Uganda, health and safety overview, Uganda culture and language instruction (the team can assist with this);
  • Planning and scheduling volunteer placement relevant to need, skills, strengths and abilities of volunteers;
  • Communicating with partner organization/ community prior to placement
  • Ensuring volunteer targets are set;
  • Regularly contacting volunteers to ensure that they are satisfied with food and accommodation during placement;
  • Monitoring and reviewing volunteer workload and targets and adjusting when necessary;
  • Evaluating volunteer’s experience at the end of placement;
  • Organizing regular interaction between different projects and volunteers;
  • Developing new volunteer program strategies;
  • Implementing a standardized working structure to enable TUH permanent staff to support volunteers in the absence of an international volunteer coordinator;
  • Developing links with the international volunteer community, including International Volunteer Sending Agencies;
  • Keeping up an updated volunteer database.

Skills, experience and qualifications

  • Experience of overseeing staff, delivering training and organizing workloads;
  • Fluent written and spoken English;

Project Coordinator – Migrants Manifesto Project

The Project Coordinator is responsible for the coordination, implementation, control and completion of the Migrants projects including the Women Project in The Hague, which requires coordination and management of workshops and events to provide job-training and employment opportunities to African migrant women in The Hague.

In this position, you will be responsible for building the project plan, coordinate and work closely with project volunteers and leadership at TUH to meet the project goals. You will plan and manage the project to meet time, budget, and quality objectives including coordinate meetings, calls, and project materials needed to deliver the project.

In this role, you’ll be collaborating with an innovative team of people moving this exciting project forward.

Program Development Officer – SRHR

As a program development officer- Sexual Reproductive Health & Rights, you will be responsible for preparing grant proposals and performing research for your assigned specialism in Sexual and Reproductive Health. You will develop the proposals and familiarize yourself our programs, goals and financial need and investigate potential funding sources. You will compose and send the proposals.

You will maintain records, track submitted proposals, respond to requests for additional information and supply the missing items. You will also be responsible for supporting SRHR related projects, planning campaigns and promoting the organization.

Marketing & Social Media Coordinator

The Marketing & Social Media Manager will develop project campaigns and the social media strategy, including sourcing & drafting posts, posting and scheduling content, and reporting/responding to any inbound communications via these channels including providing excellent customer service.

We are looking for someone with proven ability and experience in relation to marketing and social media, with excellent written and oral communication skills who can work effectively across all social media platforms to promote the projects and activities of The Umbrella of Hope Nederland. This role includes organizing events to support our projects and promote our campaigns and causes.
